What This Does

Housecall Pro's AI automatically texts customers who cancel to reschedule, sends appointment reminders so customers don't no-show, and fires off review request texts when you mark a job complete — all without you lifting a finger.

Before You Start

  • You have a Housecall Pro account (Basic plan or higher)
  • You're logged into Housecall Pro on your phone or computer
  • You have at least a few jobs scheduled in the system

Steps

1. Find the Automation Settings

Open Housecall Pro on your phone or go to app.housecallpro.com on a computer. Tap the three lines (menu) in the top left corner, then tap Settings. Scroll down to Notifications & Automation.

2. Turn On Appointment Reminders

Under Notifications & Automation, find Customer Notifications. Enable Appointment Reminder — set it to send a text 24 hours before the job and again 2 hours before. This alone cuts no-shows by 30–50%.

What you should see: A toggle that turns blue/green when enabled. You can customize the reminder text — keep it simple: "Hi [name], just a reminder your plumbing appointment is tomorrow at [time]. Reply STOP to cancel."

3. Enable AI Rebooking

Still in Notifications & Automation, find Smart Rebooking or AI Rebooking. Turn it on. When a customer cancels or replies STOP, the system automatically sends a follow-up text offering to reschedule.

What you should see: A message preview showing what customers will receive. It looks like: "We noticed you had to cancel — we'd love to get you rescheduled! Reply with a day that works or visit [booking link]."

Troubleshooting: If you don't see Smart Rebooking, check that your plan includes it — it's available on Essentials and higher plans.

4. Set Up Automatic Review Requests

Find Review Requests in the same Notifications section. Enable automatic sending. Set the timing to 1–2 hours after a job is marked Complete in the app.

What you should see: A preview of the text customers receive. It should include a direct link to your Google Business Profile review page — find that link by going to your Google Business Profile, clicking "Ask for reviews," and copying the short URL.

5. Test It

Mark a test job as Complete on a phone. Check that the review request fires. Then cancel a test appointment and confirm the rebooking text goes out.

Real Example

Scenario: You're in the middle of replacing a water heater. A customer for your 2 PM appointment calls and says they need to cancel. You're under the sink and can't respond.

What happens: Housecall Pro's AI sees the cancellation, automatically texts the customer: "Hi Sarah — sorry we missed each other! We'd love to get you rescheduled. Any day next week work? Click here to pick a time: [link]"

What you get: Sarah books herself for Thursday without you making a single call.

Tips

  • Put your Google review link in the review request text — not just your website. Make it one tap to leave a review.
  • Check your automated messages once a month — keep the tone friendly and on-brand.
  • Turn on the 2-hour reminder as well as the 24-hour one. Customers who confirmed the day before still forget.

Tool interfaces change — if a button has moved, look for similar AI/automation options in the Notifications or Settings menu.
